Many sites still share a PIN on a whiteboard, then rebuild the week in Excel. Hours go missing, breaks are guessed, and payroll cannot prove what happened at the gate. MarosHub records each clock action as it happens, on a tablet locked to your company and site, then gives the office a live view and a clean payroll file.

A full-screen kiosk on a tablet or a phone at the gate, reception or site office. The worker chooses Clock In, Clock Out, Take Break or Finish Break, then enters a private 6-digit PIN. The same device shows their hours for the week. It works with a network connection and without one. Each device is locked to one employer and one site, so staff cannot clock into another company’s records.

From the office, managers see who is on site now, the staff directory, shifts that need review, payroll Excel, audit history and whether each tablet is online. The language is English or Croatian. The currency is pounds or KM. A site supervisor only sees their own location; a head manager sees the whole business.

Security, facilities and care

Guards, porters, cleaners and carers often share one terminal. Each person keeps a private PIN. The tablet or phone stays at the site.

Shifts change quickly and signal can be poor. Staff still clock in. Breaks are recorded. Hours reach payroll without a Friday reconstruction.

United Kingdom employers

English throughout, pounds sterling, London time including BST, payroll wording for UK employment standards, and GDPR-safe exports with no PIN column.

Bosnia and Herzegovina employers

The same product in Croatian, with KM, Sarajevo time, and labour-record wording for BiH. Staff automatically use the company language. No separate system to run.

A private PIN, not a shared code

Each person has their own 6-digit PIN. They can clock in, clock out, start a break or finish a break. The system blocks the wrong sequence — for example clocking out when they never clocked in, or clocking in twice.

Keeps working if the network drops

While online, the tablet quietly stores a protected list of valid PINs. If the connection fails, staff still clock. Wrong PINs are rejected on the device. Entries wait in a queue and upload when the signal returns.

Weekly hours on the tablet

Staff can check Monday to Sunday hours and a week total on the same device, in the company language. If a manager later corrects a missed clock-out, the hours on the tablet update straight away.

Open shifts are flagged after 12 hours

If someone clocks in and never clocks out, the shift appears in Exceptions after 12 hours. The site manager enters the real finish time, approves it, and their name is written in the audit log. Payroll does not silently keep a 14-hour day.

Payroll Excel your accounts team can open

The file includes employee, site, hourly rate, gross hours, break hours, net payable hours and total pay. Net hours and pay are live Excel formulas. Currency shows as £ or KM. Column headings follow the company language.

An audit file that does not include PINs

Every clock action can be exported with the time, the person’s name, the action, the site and the tablet. PINs are never in that file. A privacy notice sits in the footer. Records are kept for six years, then removed.

Who can see what

Each business is separate. Each role has a limit.

A head manager in one company cannot open another company’s records. A site supervisor cannot see another site. When a PIN is later given to a new hire, it cannot unlock someone else’s old timesheet.

How you start

Three steps. Staff can clock the same day.

  1. Set up the business

    We create the head manager account: company name, first site, language (English or Croatian), currency and login. That choice sets the language, money and time zone for everyone in the business.

  2. Pair the devices

    Authorise one device per gate or reception — a tablet or a phone — and write down the pairing code. Open the kiosk in the browser, enter that code and launch the terminal. A standard Android tablet, iPad or smartphone in kiosk or full-screen mode is enough. Staff do not need to install their own app.

  3. Add people

    Add each person in the dashboard. Hand them their 6-digit PIN in person or through a private channel. They can clock the same day. There is no app store install and no NFC card to issue.

The dashboard and the tablet run in English. Money is shown in pounds sterling. The working day and week follow London time, including British Summer Time. Payroll files use UK employment-standards wording. Audit exports carry a GDPR notice. The PIN column is never included in Excel.

BiH

Bosnia and Herzegovina

Choose Croatian for the head manager and the whole business switches: tablet, dashboard, Excel headings, convertible marks (KM), Sarajevo calendar days, and BiH labour-record wording. Staff do not pick a language themselves — they follow the company setting.

Typical users include security firms, facilities teams, hotels and restaurants, construction sites and care providers — anywhere people clock on a shared device rather than a personal phone.

Signed manager sessions

A successful login issues a signed session that lasts 12 hours. Knowing a username is not enough to act as that manager. Privileged actions must present that session.

Passwords and PIN attempts

Passwords are stored in encrypted form, never as readable text. Repeated failed logins lock the account. Clock attempts from one address are limited so 6-digit PINs cannot be guessed at speed.

Each person sees only their scope

Staff changes, exceptions, payroll and tablet actions are checked against role, company and site. A request from another company is refused. Site managers cannot edit other managers.

A named audit trail

Logins, profile edits, exception approvals and tablet authorisations are written to a read-only log. Platform-operator actions stay hidden from the customer’s own managers.

Six years, then permanent removal

Identity and timesheet history stay on file for audit. After the retention period the record is permanently deleted. That matches common UK working-time practice and long labour-file keeping in Bosnia and Herzegovina.

Tablets must be paired

A new tablet cannot be taken from the public setup list alone. Without the pairing code it cannot download the PIN list and cannot clock offline. That code is shown to the person installing the device.

How a week looks

From the Monday gate to Friday payroll.

The night porter clocks out. The day guard clocks in on the same tablet. If the mobile signal drops, those entries still wait on the device and upload later.

The worker starts a break and later finishes it. On Friday those minutes are taken out of net payable hours on the payroll sheet.

After 12 hours the open shift appears in Exceptions. The site manager enters 18:02, approves it, and the audit log records who made the change. The worker’s weekly hours on the tablet update at once.

The head manager opens reporting, chooses the whole organisation, Monday to Sunday, and downloads the professional payroll sheet. Accounts can open the file and the formulas still work if a rate is adjusted.

An inspector can be given the audit export for a site and week. It shows names, times, locations and devices. It does not show PINs.
